Health, Safety & Booking Policy

At Soma & Soul Wellbeing, we aim to create a safe, welcoming and inclusive space where you can slow down, listen to your body and practise at your own pace.

Please read the following information before booking or attending a session. By making a booking, you confirm that you have read and understood this policy and agree to follow the guidance provided.

Health & Safety

Yoga, meditation, Yoga Nidra, sound baths and sound therapy are wellbeing practices and are not intended to diagnose, treat or replace medical or psychological care.

Some practices involve physical movement, breathwork, prolonged stillness, deep relaxation, sound or vibration. As with any physical or wellbeing activity, there may be a risk of physical discomfort, emotional responses or injury.

You are responsible for listening to your body and practising within your own limits. Please do not force or push through pain. If you experience pain, dizziness, nausea, unusual discomfort or emotional distress during a session, stop the practice and let the facilitator know.

You should seek advice from your GP or another appropriately qualified healthcare professional if you are unsure whether a particular practice is suitable for you, particularly if you are pregnant, recovering from an injury or illness, have a medical condition, or have recently undergone surgery.

Please let us know about any relevant health conditions, injuries, pregnancy or other circumstances that may affect your participation when completing your booking or health questionnaire. It is your responsibility to ensure that this information remains accurate and up to date.

Where appropriate, practices can often be adapted to support individual needs. However, we may recommend that you do not participate in a particular practice or session if we reasonably consider it unsuitable for your safety or wellbeing.

Sound Bath & Sound Therapy

Sound-based practices can affect people differently. Some people may experience relaxation, emotional responses, changes in sensory awareness or discomfort in response to certain sounds or vibrations.

If you have significant hearing sensitivity, tinnitus, epilepsy, a pacemaker or other implanted medical device, are pregnant, have recently had surgery, or have any condition that may be affected by sound, vibration or prolonged relaxation, please contact us before booking so that we can discuss whether the session can be safely adapted.

For sound therapy involving singing bowls placed on or around the body, please inform us of any relevant medical conditions, injuries, pregnancy or recent surgery. Bowls may be placed around rather than directly on the body where appropriate.

If you are unsure whether sound therapy is suitable for you, please consult your healthcare professional before booking.

Personal Responsibility

You are responsible for your own health, safety and wellbeing during the session.

You are always welcome to take a break or rest whenever you need to. If you feel unwell or require medical assistance during a session, please let the teacher know immediately.

For in-person sessions, please take reasonable care of your personal belongings. Soma & Soul cannot accept responsibility for personal items that are lost, damaged or left unattended.

Booking & Payment

Advance booking is required for all sessions unless otherwise stated.

Your place is confirmed once payment has been received. Please check your booking details carefully, including the date, time and location, before completing your booking.

Bookings are personal to the person named on the booking and should not be transferred to another person without prior agreement.

Cancellations & Refunds

For regular classes, you can reschedule your appointment for free up to 48 hours in advance. Cancellations made more than 48 hours before your appointment will be refunded, minus Stripe's standard card processing fee of 2% + 20p (up to 2.9% + 20p for international cards). Cancellations or rescheduling requests made within 48 hours of your appointment are non-refundable. By booking, you agree to these terms.

For workshops, special events and other offerings, different cancellation periods may apply. These will be clearly stated at the time of booking.

If you are unable to attend because you are unwell, please contact us as soon as possible. Where practical, we may offer a transfer to another session at our discretion.

Changes or Cancellations by Soma & Soul

Occasionally, a session may need to be changed or cancelled due to circumstances beyond our reasonable control, including illness, venue issues or other unforeseen circumstances.

If Soma & Soul cancels a session, you will be offered a transfer to another suitable session or a full refund of the amount paid for that session.

We reserve the right to make reasonable changes to the facilitator, session content, venue or timing where necessary. We will provide notice wherever reasonably possible.

Late Arrival

Please arrive in good time, at least 10 minutes before start, so that you can settle before the session begins.

For practices involving relaxation, meditation or sound, late arrival may disrupt the experience of other participants. Where late entry would be disruptive or unsafe, we may not be able to admit you once the session has started. Arriving 15 minutes late or more will not be admitted. No refund will be issued.

Respectful & Inclusive Space

Soma & Soul is committed to creating a respectful environment for everyone.

Please treat facilitators, venue staff and other participants with consideration and respect. Disruptive, abusive or discriminatory behaviour will not be tolerated.

We also ask that personal experiences or information shared by other participants during a session are treated with respect and kept confidential.

Photography & Recording

Photography, video or audio recording during sessions is not permitted without prior permission.

From time to time, photographs or videos may be taken for Soma & Soul's website or social media. We will seek appropriate consent before using identifiable images of participants.

Your Agreement

By booking or attending a Soma & Soul session, you confirm that:

  • you have read and understood this Health, Safety & Booking Policy;

  • the information you have provided about your health and circumstances is accurate and up to date;

  • you will inform us of any relevant changes to your health or circumstances;

  • you will practise within your own limits and follow reasonable safety guidance;

  • you understand that wellbeing practices are not a substitute for medical or psychological care; and

  • you will speak to us before participating if you are unsure whether a session is suitable for you.
